Our client is looking for an IR Team Assistant/Office Manager to support senior Executives and the wider team including smooth running of the office. The role is based at the Company’s Head Office close to Green Park/Victoria stations.
The role requires highly developed organisational and communication skills along with proficiency with Microsoft Office. Strong interpersonal skills and the ability to engage and interact with all stakeholders in a professional and mature manner is also a requirement for this position.
Main Responsibilities:
- General office management including facility management, ordering supplies, liaising with the building management;
- Dealing with issues related to day-to-day running of the office
- Greeting visitors and ensuring meeting rooms are pre-booked, set up and any refreshments required are provided;
- Management and screening of incoming calls, responding to queries as appropriate;
- Calendar management incl. organisation of meetings and appointments;
- Ad-hoc general administration duties and personal tasks as and when required
- Travel arrangements, incl. visa applications, booking flights, hotels, transfers etc.
- Other ad-hoc services to support the smooth running of the office
- Assist in relocation to new office
- Supporting the preparation of Sustainability report content and related presentation work
- Supporting the preparation of IR and formal reporting material
- Managing webcasts + results conference call logistics
- Keeping track of + signing up IR team for conferences + ensuring deadlines are met for content submission e.g. presentations
- Managing schedules with brokers + conference organisers, including diary management
- Drafting + circulating investor profiles
- Note taking for investor meetings / conferences
- Logging meetings in the IR investor database
- Distribution of monthly beneficial holder register
- Ensuring beneficial holder share register master file is kept up to date each month
- Help keep website up to date with loading of RNS, presentations and documents
- Assist in content management
- Assist in translation and management of mirror Russian language announcements with Moscow
Requirements:
- Evidence of office and administrative experience
- Educated to degree level – or high capability
- Highly developed verbal and written communication skills to deal efficiently and appropriately with internal and external stakeholders and the public
- Ability to multi-task effectively and juggle conflicting requirements, prioritising tasks and managing conflicts appropriately
- Strong Microsoft Office skills
- Committed to outstanding delivery and good attention to detail
