As a Private PA your responsibilities will include:
- Acting as a central point of communication for the Principal and his family around the clock;
- The drafting of paper and electronic correspondence, including taking dictation in both English and Russian;
- Full support to the family in terms of diary management, booking meetings, events and dinners;
- Monitoring of incoming email correspondence on behalf of the Principal;
- Making business and personal travel bookings for the family; accommodation, flights, transfers and the preparation of travel itineraries;
- Keeping the Company’s Director informed of key developments, plans and extending administrative support where required;
- Liaising with crew on the Private Jet and Yacht and co-ordinating logistics;
- Working closely with the Operations Manager to ensure the smooth running of the family’s private assets;
- Developing and sustaining voice and email communication with several business aides, key personnel and selected contacts of the Principal;
- Event organisation – working dinners, workshops and conferences;
- Maintaining a catalogue of artwork;
- Organising the shipping of cars, artwork, and other high value items;
- Liaising with Drivers, Housekeepers, House Managers and other residential staff;
- Co-ordinating access to maintenance contractors or other personnel at the residence and attending on site when required;
- Liaising with the Moscow office and Operations staff;
- Immigration and Visa procurement;
- Monitoring expenses;
- Ad hoc errand running;
- The arrangement of conference calls and administering an online calendar;
- Monitoring and renewing permits, licences, insurance, etc.;
- Assisting with production and maintenance of registers (such as outgoing post register, invoice register, etc.);
- Creating and maintaining records for filing system;
- Maintaining the database of all club memberships;
- Personal shopping on behalf of the Principal’s wife;
- Sourcing other day-to-day necessities such as flowers, food and other goods;
- Travelling with the family may also be required from time to time;
- Any other responsibilities to be reasonably expected from a Family Assistant
To succeed in this role you will need:
- 2+ years of work experience in a PA role
- Fluent English and Russian (both written and verbal)
- Great time management and multitasking skills
- Professional attitude
