This is a great opportunity for someone with administrative/support experience to join a wonderful professional office based in the heart of Mayfair for a one-year and two months maternity cover contract in a capacity of a Receptionist/Office Manager. You will be supporting an international and diverse close-knit team, who are pleasure to work with.
Responsibilities
- Manage Reception Area, Meeting Rooms and the office main line phone
- Book couriers & DHL, receive and distribute incoming packages, distribute mail and post
- Keep reception and meeting rooms tidy and presentable, display daily newspapers and magazines
- Oversee the smooth running of the office at all levels
- Liaise with building facility managers and contractors, liaise with office cleaners, liaise with various suppliers for the management of the office
- Keep office stationery in stock (including toners for all printers plus domestic stock and looking after kitchen supplies)
- Manage Mobile network accounts for phones
- Manage the company list of equipment such as phones, laptops, printers among employees
- Manage office maintenance – contracts (green wall, lighting, shredders’, aircon, cleaning, and others), certificates ( such as Fire Marshall and First Aider and others)
- Weekly order of food and beverage supplies from Ocado, daily shopping if required
- Manage petty cash, receipts and invoices
- Data management and filing
- Assist office staff when necessary (finance, legal and project management departments)
- Assist the management and other team members when help is needed
- Create full ‘how-to’ instructions for Webex, Zoom, and any other applications used in the office and various devices
- Create and maintain the list of Application passwords or credentials be created
- Be point of contact for IT Support or any issues with computers, phones VoIP, internet connection or any office equipment
- Assist the accounting team with various tasks in QuickBooks
Ideally, you will be/have
- At least 1 year of Reception/Administration/Team Support experience in the UK
- Excellent English language skills, spoken and written
- Russian or a European language is an advantage, but not a necessity
- Excellent organisational skills
- Professional presentation and excellent people skills
