Our well-established client is a family office based in London managing business and personal affairs of a single high-net-worth family. We are searching for a motivated, reliable, and task-focused Executive/Personal Assistant to support the CEO and the CFO of the company. This role will be responsible for performing both professional and personal administrative duties.
Responsibilities:
- Managing diaries and organising meetings, appointments, calls, and video conferences
- Managing travel, incl. itineraries, transport, accommodation, and visas
- Documents handling, incl. arranging signatures, sending and receiving of originals, scanning, uploading, structuring, and archiving various documents, bills, statements, etc.
- Drafting and sending letters, e-mails, and notes, proof-reading (in English and Russian)
- Preparing, reviewing, and concluding basic agreements
- Liaising with various external counterparts (business partners, lawyers, notaries, service providers) as well as other team members in London, Moscow, and other locations
- Organising various personal commitments including travel, appointments, bookings, events
- Handling properties-related matters in London and Moscow – liaising with service providers, organizing bills, payments, appointments, etc. (occasionally – sale, purchase, rent deals)
- Providing general administrative support
- Research on various topics
- Occasional ad hoc tasks and urgent special requests
