20 hours per week; ideally 4hrs a day Monday-Friday (could be mornings, afternoons or during the middle of the day). This is flexible as long as it is spread out throughout the week and doesn’t leave large blocks of time where the role is unattended.

Responsibilities
Admin tasks
- Approval of officeinvoices and contracts, coordinate payments
- Officepost, deliveries, couriers, stationery orders, arranging snacks
- Document printing, scanning and save into company filing system
- Organising ID and document notarisation
- Keeping proactive track of family IDs, passports, and renewals
- Manage employee HR filing: new starters and leavers, holidays planner, pension and medical plan
- Ad-hoc requests; flower orders, appointment booking
- Yearly PAT testing, 5 yearly electrical tests and Fire Risk Assessments
Operational tasks
- Assist with monthly legal funding request and reconciliation (print and enter into Excel)
- Preparation of monthly UK credit card expenses + spreadsheets + transactions input into Sage (Generate corresponding monthly expense reports, send to employees and request receipts)
- Preparation of monthly family members’ credit cards (Amex, Mastercard, credit and prepaid cards) + transactions input into Sage.
- Check staff and family member travel fees are correct and arrange payment to travel agent
- Arrange bank payments as requested
- Booking into SAGE of the transactions of certain family members
Key skills
- UK-based administrative experience and experience working with documents and financial data
- Fluent in Russian and English
