A boutique Investment company is looking for a professional Russian speaking Executive Assistant who will also cover reception desk (mixed role). Meeting and greeting HNW clients will be one of your responsibilities on top of assisting to the senior level.

We are looking for a dynamic, responsible, and well-mannered candidate. An ideal candidate will be educated to the Bachelor’s Degree, preferably have a financial background, and be a team player. Ability to demonstrate respect is important for us.

As an EA you will be responsible for:

  • managing the Director’s diary and travel
  • recording office expenditure and managing the budget
  • preparing expense reports on a regular basis
  • organizing travel and accommodation for staff and other external contacts
  • arranging meetings and appointments
  • booking a meeting room and conference facilities
  • participating in policy development and documentation

As a Receptionist you will be responsible for:

  • meeting and greeting guests, making tea/ coffee for guests and directors
  • managing online and paper filing systems
  • organizing the office layout and maintain supplies of stationery and equipment
  • checking that data protection laws are being adhered to in relation to the storage of data, and reviewing and updating policies
  • dealing with telephone and email inquiries
  • photocopying and printing various documents
  • organizing and storing paperwork, documents, and computer-based information
  • creating and maintaining filing and other office systems

We will expect to see from you:

  • minimum experience of 2 years of Executive Assistant
  • proven experience of managing Front Desk / Office Manager
  • Microsoft Office skills: Word, Excel, Outlook
  • strong communication and negotiation skills
  • excellent business and personal reputation, consistent with a commitment to abide by the Code of Ethics and other global internal policies
  • discretion and sensitivity to challenges in geographies where the client’s companies operate
  • business administration/business management
  • fluency in English (native-standard), Russian and, preferably, Ukrainian languages, to be able to maintain full rapport with the senior management and colleagues in affiliated offices
  • knowledge of bookkeeping/accounting is a plus
