This is a great opportunity for an experienced PA to join a London-based head office of an international logistics firm. The role is to provide secretarial and administrative support in a well-organised and timely manner to the Executive Chairman while working on organisational initiatives, communication from Chairman’s office and other tasks as directed by The Chairman.

Responsibilities

  • Personal Assistant to the Executive Chairman (EC) for:
    • Administrative services including calendar management, planning and coordinating meetings, planning events (formal and informal dinners, Annual BBQ, festival celebrations, corporate gifting etc.)
    • Organising travel (including visa and other formalities) and preparing travel itineraries
    • Prioritising and managing all correspondences on behalf of the Chairman
    • Managing confidential documents and ensuring relevant information is provided in a timely and accurate manner
    • Update and maintain the contact database
  • Support Board and Family communication and coordination of meetings
  • Work closely with the Chairman and Family Office and arrange regular meetings, prepare briefing materials, manage communication and organize reports for the Chairman
  • Coordinate, attend and prepare minutes for meetings
  • Study external business reviews and prepare analysis and summary for The Chairman
  • Collate data and prepare presentations as and when required
  • Ensure maintenance and management of EC’s office
  • Support the Deputy Chairperson and Non-Executive Directors
  • Responsible for Public Relations for Chairman’s office

Key Skills

  • Previous UK-based PA experience and sound set of required skills
  • Fluent English – spoken and written
  • Strong communication and interpersonal skills with the ability to communicate at the Executive and Ministerial level
  • Self-motivated and confident
  • Ability to work in a diverse team
  • Board-level experience is desired
  • Proficiency in MS Office
  • Shorthand skills for taking minutes and correspondence is desirable
  • Ability to work under pressure to agreed deadlines and adapt to change
  • Hospitable and welcoming in approach
  • International exposure

This is an office-based 5 days per 5-day-per-week role 9.30-6.30, so someone who is committed to the daily travel to the top City location is a must. Great, stable opportunity in a boutique office with a lovely international team.
