Your Responsibilities will include:
- The role supports three Executives: COO, CEO, and CFO
- Some occasional assistance required for a close-knit team of self-efficient professionals
- Extensive diary management, organizing internal and external meetings
- Arrange full spectrum of first-class travel services for business and personal purposes: taxis, chauffeurs, airport “Meet and greet” services, air and train tickets, accommodation, conference facilities, first class/business class travel arrangements, etc. Building a strong business relationship with all suppliers, negotiating deals, etc.
- Assist with visa applications when required
- Expenses administration with a sharp eye on tax implications
- Act as a gate-keeper for the management team
- Assistance with the Board Members meetings, the full scope of top-level documents and materials preparation, shorthand skills is a great benefit, but not essential
- Carry out various research, presentation and clients’ related projects and assisting with business ventures, background research and presenting findings
- Prepare PowerPoint presentations for the high-profile meetings
- Daily office management, team management and
- Participation in the company project management and back-up support of new market entries, liaising with and coordination of remote cross-border technical, administrative and distribution teams
- Hands-on administrative support at senior level including brainstorm marketing ideas, assistance with preparation of promotional and informational materials
- Skype and corporate digital conferences set up
- Correspondence management, documents preparation, contracts drafting, minute taking (shorthand skills is a plus, as well as audio minute taking and reviewing information)
- Reports preparation
- Liaising with external services providers, working closely with the outsourced HR and IT services
- Liaising with financial, marketing and legal teams, support to the teams as/when required.
- Phone presence out of working hours – moderate
To succeed in this role you will need to be/have:
- Solid EA/Office Management and/or Operations experience with sound knowledge of setting up policies, procedures, lists of suppliers and developing a business relationship
- Educated to a degree level
- Excellent telephone and email correspondence manner
- Excellent communication skills (ability to liaise with individuals at all levels)
- Hardworking and reliable with positive ‘can do’ approach to any situation, however challenging or routine it may be
- Flexible and willing to stay ‘on call’ when and if required after working hours
- Excellent organizational and time management skills
- Good eye to detail
- A team player with a willingness to get involved and add value
- Exceptional timekeeping and organizational skills
- Knowledge of the Microsoft suite of applications – Outlook/Calendar, Word, Excel, advanced PowerPoint skills
