Must have sound Business Management as well as Property/Estate Project Management experience – both.

This is a great opportunity for a professional who has strong experience within HNW Family Offices, excellent real estate, project management and property management skills, and the ability to lead various Private and Lifestyle projects.

Responsibilities

  • Real estate construction, renovation, and maintenance projects
  • Managing and/or overseeing various construction, renovation, and maintenance projects of various scales at the Family’s properties in the UK, Eastern Europe, and France, including overall project management, overseeing contractors, planning and budgeting, procurement and quality control, reporting, etc.
  • Real estate management
  • Maintenance of personal properties of the Family in the UK and overseas
  • Business Projects
  • Overseeing and advising on the strategy and various projects of an amusement park and a circus
  • Other projects
  • Lifestyle management
  • Reviewing, designing, and implementing internal policies and processes aimed at supporting the Family’s lifestyle and day-to-day activities in the most efficient way, including running the properties, the office, travel arrangements, maintaining the yacht, fleet of vehicles, etc.
  • Assets acquisition and sale (properties, boats, vehicles, art, etc.)
  • Yacht maintenance (managing crew, maintenance etc.)
  • Overseeing a fleet of vehicles
  • Assisting the Family members with EU and UK citizenship matters
  • Assisting the Family members when legal support is required. e.g. related to the properties, various life situations, etc. (with the help of external advisors)
  • Other projects
  • Various private projects of the Family members in the UK and Eastern Europe (supporting the Family members with various personal, business, and charitable projects and initiatives), e.g. glamping, cafe, immersive theatre, etc.
  • Involvement in the development of the family office PR strategy and branding
  • Budgeting and reporting
  • Budgeting for real estate, construction, office, staff, lifestyle, and other expenses
  • Providing budgets and reports to the Managing Director, Finance Team, and the Family
  • Exploring opportunities for cost optimization
  • Internal control and revision
  • Design, maintain and improve internal document workflow process (contracts, agreements, invoices, records, bank statements, etc.)
  • Review, negotiate and conclude contracts related to third-party vendors, transactions, employment, insurance, lease, etc. (and liaising with external legal and other advisors)
  • Monitoring contract performance
  • Regular reconciliation of bank and card statements with expense reports from employees and cheques/invoices/preparation of monthly bank and card statements reports for the Family
  • Internal policies and procedures
  • Design, implement, maintain, and update internal policies
  • Procure smooth and efficient internal procedures and processes
  • Maintain risk management (regulatory and operational)
  • HR
  • Overseeing the work of office employees/direct subordinates as well as household staff and drivers
  • Recruitment, HR files, legal matters, work schedules/rota, holidays/leaves, evaluation, etc.

  • Maintaining IT systems (managing outsourced IT contractors)

Ideally, you will be/have

  • Experience working in an FO environment supporting a HNW family at a senior level – UK and/or EU experience is a must
  • Experience in property management, various project management, assets management, lifestyle and all associated expertise: budgeting and cost management, legalities, controls, etc.
  • Fluent English
  • Fluent Russian
  • Can-do attitude
  • Excellent communication and people management skills
