Our client is a London-based Family Office arm of a well-established tech giant. They are now looking for an experienced CofS to join their dynamic and highly professional team. As a Chief of Staff, or Head of Staff, you will be responsible for ensuring success in all areas of an organisation’s dealings, from staff management to real estate projects. Your primary duties will include working behind the scenes to monitor processes, structure deals, present research, reporting, mediating disputes, finding solutions and dealing with suppliers.
Responsibilities
- Assisting and communicating with the Head of FO and the Principals throughout the decision-making, project management and initiative implementation stages
- Managing on-going complex private lifestyle and investment projects
- Liaising with suppliers, including banks, law firms, real estate specialists, interior designers etc.
- Managing a team of PAs
- Improving the company’s ongoing processes and organising procedures to ensure optimal efficiency and productivity
- Designing, reviewing, and improving an organisation’s structure and helping address ongoing problems
- Acting as a liaison between the staff, Principals and Management regarding the company’s climate, employee’s well-being, and project updates
- Building good relationships with employees
- Gathering departmental reports and compiling them into one company report
- Assisting with household recruitment, including documentation and onboarding, and collaborating to address and resolve all employee concerns
- Oversee daily operations through collaboration with senior management and department leaders, performing an array of administrative tasks from managing calendars, generating correspondence, maintaining hard copy and electronic files, planning, and coordinating annual corporate meetings, and scheduling facilities
Requirements
- Degree in Business Administration or a similar field is advantageous but not compulsory
- 4 + years in a business support or executive management role
- Experience managing people
- Excellent communicator in written and verbal form
- Fluent English, Russian or European languages is an advantage but not a necessity
- Extremely versatile, dedicated to efficient productivity
- Experience planning and leading strategic initiatives
- Experience with data analysis
- Experience with budget management
- Consulting experience with a focus on operations management
- Proven success in a project coordination role
- Nimble business mind with a focus on developing creative solutions
- Strong project reporting skills, with a focus on interdepartmental communication
- The role is mainly remote, but it does require a few days work from the Office in Central London
- Availability over the phone during and past working hours
