This is a great opportunity for an administrative/PA candidate to join a close-knit team in the heart of London. The client is a well-established financial services company, and they are looking for a PA to join their friendly team. Your role will involve supporting two Principals and a team of professionals, as well as managing their office operations.
Responsibilities
The role will suit someone who is capable of dealing with ever-changing travel plans and who can work independently. In addition, as Office Administrator/Manager you will be required to deal with operational information, therefore, high integrity is considered as one of the most important personal qualities for this role.
- Welcome visitors and clients as they arrive at reception (take coats, umbrellas etc. accompany client(s) to meeting room, offer refreshments, etc.)
- Principals’ extensive diary management and private events coordination
- Making and managing ever-changing flights, hotels, transfers bookings
- Team working and coordinating with other office administrators, including at the Cyprus branch and the office in Zurich
- Dealing with e-mail/post, correspondence and inquiries, daily couriers (the UK and international) and post coordination
- Answering phone and the doorbell
- Creating and maintaining filing systems in an organised manner
- Setting up meetings, and conference calls
- Dealing with suppliers, ordering, maintaining and stocking water bottles, general office supplies and stationery, printers and consumables, business cars and personalised bespoke greeting cards
- Ensure that office kitchen(s) are stocked with all necessary sundries and fruits for efficient daily use and is maintained clean and in good order
- Managing the up-keep of the office, dealing with the office maintenance company.
You will be/have
- While Bachelor’s degree is desirable, candidates with the equivalent combination of education and experience should not be discouraged from applying
- An office-based experience is preferable – 2 years plus
- Organised and able to handle a wide range of responsibilities with minimal supervision
- Fluent in written and spoken Russian and English
- Eligible to reside and work in the UK with no restrictions
- Strong organisational skills and attention to detail
- The ability to plan your own work, work on your own initiative and meet deadlines
- Teamwork, punctuality, reliability and honesty.
