We have an incredible opportunity for an experienced Personal Assistant to join a highly successful, forward-thinking, real estate investment company. Working alongside a friendly, vibrant team of investment professionals, you will be responsible for providing comprehensive support to the executives, notably for the Head of Investor Relations and Head of the UK & Ireland.
The executives travel frequently and have busy and ever-changing schedules, therefore require top-class support from their PA to ensure everything runs smoothly at all times. With a strong focus on global travel arrangements, complex diary management, meeting preparation and confidential document handling, as well as managing correspondence, you will be required to juggle multiple tasks and maintain meticulous attention to detail. The ideal candidate will be a profoundly organised, service-orientated, proactive self-starter who takes pride in their work.

Located in central London, office hours are Monday-Friday, 9am-6pm, and this role requires the successful candidate to be on-site 5 days per week. A degree of flexibility in terms of working hours is essential – there will be some out-of-hours work and on-call availability. Responsibilities
- Manage and maintain the executive’s dairies and schedules, ensuring all appointments are scheduled and coordinated efficiently
- Coordinate complex global travel arrangements – flights, accommodation, visas, covid travel documents, and ground transportation
- Prepare detailed itineraries, especially for fundraising roadshows where travel plans will be complicated and extensive
- Provide comprehensive administrative support – preparing reports, presentations and correspondence, and managing expense reports
- Additional administrative support may include but is not limited to data room input using Salesforce and DealCloud, taking IC committee and other meeting notes, assisting with pitchbooks and fund reporting, and helping with data management on Excel
- Handle confidential and sensitive information with discretion, maintaining confidentiality at all times
- Act as the first point of contact for the executives – screening and directing incoming calls and correspondence as appropriate
- Coordinate and schedule meetings, conferences and events including arranging venues, catering, and audio-visual equipment as required
- Undertake ad-hoc tasks and projects as required
Key Skills
- Previous PA experience (3-years minimum) in a similar role, preferably supporting senior executives, management teams or HNWI
- Prior experience in an international corporate environment, ideally in the investor relations department
- Versatile in meeting the demands of a dynamic and busy environment
- Excellent interpersonal skills, with the ability to build strong relationships with internal and external stakeholders
- Highly organised and able to manage multiple tasks, diaries, and priorities simultaneously
- Proactive and able to use initiative to solve problems and make decisions
- Very high level of attention to detail and accuracy
