This is a great opportunity for a proactive Office Assistant to join a dynamic corporate team on a temp to perm basis. You will be providing professional administrative support to a small London team, which will include working with legal documentation, organising meetings and travel management for the team. You will be the main point of contact for the company’s London office and have an opportunity to be involved in a wide range of projects.

 

Your responsibilities will include:

  • Operating switchboard, managing telephone calls;
  • Manage office equipment and maintenance contracts and support (lift, security, fire alarm, air conditioning, photocopiers/franking machines, water coolers, cleaning) and arrange ad hoc maintenance, as required;
  • Purchasing of office equipment and stationery;
  • Coordinating company meetings and associated invitations, agendas, papers, room bookings and catering;
  • Help organise meetings with overseas colleagues;
  • Coordinate business travel – flights, hotels, transfers and prepare travel documentation and packs;
  • Organise social events for the team (Christmas parties, away days etc);
  • Supervise passport/visa requirements for all London based employees;
  • Holiday leave and sick leave record keeping;
  • Provide administrative support for the London-based Finance team, as required;
  • Coordinate notarisation and legalisation of documents;
  • Expense Report processing, filing;
  • Input and authorise invoices;
  • Managing documentation (printing, scanning, filing etc);
  • May be required to assist with ad hoc reports and special projects.

 

To succeed in this role you will need:

  • Previous experience in an Office Assistant role;
  • Fluent English and Russian (both written and verbal);
  • IT literate;
  • Excellent communication skills, both written and oral;
  • Positive attitude;
  • Willingness to learn new skills and take new responsibilities;
  • Attention to detail;
  • Proactive and displays initiative;
  • Natural organisation skills and ability to prioritise work effectively.
