We are looking for a highly organised, positive and loyal Executive Assistant with previous relatable experience to support two dynamic entrepreneurs. This EA role includes both business and personal support. You will be involved in business support for current operations and have a chance to be part of launching new projects and business ventures from scratch. A successful candidate must be a team player who is happy working closely with other partners across different international businesses. We are looking for someone who thrives supporting multiple executives in a fast-paced environment. In addition to being organised, analytical, and resourceful, you must possess strong business judgement and communication skills needed to interact with a variety of people and job functions.

Duties include but not limited to:

  • Anticipate needs and provide high-level administrative support to founders and other team members
  • Coordinate and manage complex international and domestic travel arrangements
  • Manage expense reports
  • Complete numerous other business and personal tasks as needed
  • Conserve founders time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analysing information; initiating telecommunications
  • Maintain founder’s inbox and appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Personal assistant duties include but not limited to managing house vendors, planning family holidays, family functions, running errands and other personal family matters
  • The goal is to anticipate needs and make the founders’ lives flow smoothly and more easily
  • Keep the office organised and stocked with various amenities, including snacks

Requirements

  • Excellent organisation and time management skills with acute and thorough attention to detail
  • Ability to prioritise workloads and multitask, to work independently and proactively, and to be a good team player
  • Professional and proactive
  • Resourceful skills with significant experience in providing hands-on research and assistance
  • Excellent written and verbal communication skills
  • Can work on your own initiative and pre-empt requirements/needs
  • Ability to be flexible whilst working under pressure and to tight deadlines
  • Ability to demonstrate strong initiative when reviewing current procedures and processes of the business
  • Passionate about wellbeing and learning. Experience or interest in content creation (publishing/curriculum development) is a plus!
  • Ability to juggle multiple requests and planning your workload
